01For Malaysian Main Contractors

Nothing counts until it’s verified.

Trackwright keeps every recorded quantity Unverified until an inspection passes and every approval level signs off. Claims are then certified only against what is verified.

02The Problem

Two Problems Slow Every Project

Visibility

You Can’t See Real Progress Across Subcontractors

Each subcontractor reports its own activity. Without inspected, approved quantities, you manage from what people say is done.

The CostEvery claim starts from a report, not from proof.
Ownership

Approvals Stall and Nobody Owns Them

A request waits on “someone”. It has no named owner, no deadline and no one with authority to step in when it runs late.

The CostWork sits unapproved, and no one is accountable.

03How It Works

Five Steps From Site Record to Verified Claim

Every quantity follows the same fixed sequence. It moves forward only when the step before it is satisfied.

  1. 01

    Record

The recorder logs the quantity, the chainage or location, and photos. The entry saves as Unverified and counts toward nothing yet.

  2. 02

    Inspect

Each inspection record carries a result and the quantity it covers. A pass lets approval proceed. A fail, or a pending result, puts the entry on Inspection Hold.

  3. 03

    Approve Level by Level

Each level has a named approver and a deadline in hours. The entry climbs one level at a time, and an overdue level passes to a named escalation reviewer.

  4. 04

    Verify

Only the final level moves a quantity to Verified, and the Progress Register updates as it signs off.

  5. 05

    Claim

A claim draws on verified quantity only. Drafting it reserves that quantity, so no other claim can bill the same metre.

05Built-in Rules

Four Rules the Software Enforces

These are not guidelines. Trackwright blocks the action that would break them.

01

Verified Means Verified

A quantity is Verified only after a passed inspection and the final approval level.

Two States, Always Labelled
Every quantity on the Progress Register is Unverified or Verified. Unverified is also hatched, so colour is never the only signal.
Inspection Hold
A failed or pending inspection puts the entry on hold. Nothing is approved on it.
Capped at Coverage
Final approval cannot exceed the quantity the inspection covered.
Partial Approval
Approve part of an entry and the balance stays Unverified.

02

Every Approval Has an Owner and a Deadline

Each level names one approver and sets one deadline.

ESC 24 h24 h48 h
Approval Matrix
Set the levels, approvers, deadline hours and delegates for each work type.
Escalation
Once a level is overdue, a named escalation reviewer can decide.
No Self-Approval
Whoever recorded or submitted an entry cannot approve it.
Routes Frozen at Submission
Later route changes apply to future entries, never to one in flight.
Returns Need a Reason
Every return carries a reason, and no decision can be edited afterwards.

03

Money Follows Verified Quantity

Claims cannot bill what is unverified, bill twice, or mix units.

− − = VCRA
Available Quantity
Verified, minus certified, minus reserved by other active claims.
Assessment
Every reduction needs a reason.
Separation of Duties
The certifier cannot be the preparer.
Retention Per Contract
A percentage and a cap, set on each contract.
Payments and Units
A payment cannot exceed the outstanding amount. m, m², m³, units and tonnes are never summed.

04

One System, Strict Walls

Subcontractors share the project, not each other’s data.

Enforced on the Server
The server decides visibility by company and work item. Nothing is merely hidden on screen.
One Scoped Recorder
Approving a vendor creates exactly one correctly scoped Work Recorder.
Exports Obey the Same Rules
A CSV contains only what its reader may see on screen.

06Claims & Payments

A Claim Can Never Exceed What Is Verified

Read the ledger from the top. Verified quantity, less what is already certified and what other claims have reserved, leaves what is available. Value follows quantity, and nothing else can be billed.

07For Your Team

Six Roles, One Record

Everyone works from the same verified numbers. Each role gets the view it needs to act.

Verified versus claimed progress, overdue approvals and claim status across every project and subcontractor, without asking anyone.

  • Compare verified quantity with recorded quantity, work item by work item.
  • Spot overdue approvals and the inspections that are holding work.
  • Follow every subcontractor claim from submission to payment record.

Each Subcontractor Sees Its Own Lane

Every company works in one shared project. Its evidence, rates and claims stay behind its own wall.

  • Temporary Access. It ends at the end of the chosen day, Malaysia time.
  • Vendor Registration. A vendor moves from invitation to application, review, corrections, approval and activation.
  • Full Audit Trail. Every record, endorsement and decision is logged in Malaysia time.

09Planning

Build the Plan From Your Quantities

Choose a project type. Trackwright suggests work items as a checklist, estimates quantities from your dimensions and builds an editable programme.

  • Honest Estimates. A quantity worked out from dimensions is marked Preliminary. A quantity without dimensions is marked Needs Takeoff.
  • Duration From Quantity. Duration is quantity divided by daily rate, on a working-day calendar, with dependencies between items.
  • Edit Anything. Change a daily rate and the programme recalculates. Set a duration by hand when you know better.

12FAQ

Questions, Answered Plainly

No. A passed inspection lets approval proceed; it approves nothing by itself. A quantity becomes Verified only when the final approval level signs off, and never beyond what the inspection covered. A failed or pending inspection puts the entry on Inspection Hold.

No. The server decides visibility by company and work item. Each subcontractor sees its own evidence, rates and claims, and shares only the project itself. CSV exports follow the same rules.

In elapsed hours, from the moment a level opens. Each level has its own deadline, set in the approval route. When a level runs overdue, the named escalation reviewer can decide in its place.

Rejecting a claim needs a reason and releases the quantities it reserved. The verified quantity is untouched and becomes available to claim again.

Not yet. Email and SMS delivery and CIDB or SSM registry checks are not connected. Where the product shows them, they are simulated and labelled as such. Nothing is sent and no official register is queried.

No. A payment is a record against a certificate. Trackwright moves no funds, and a recorded payment can never exceed the outstanding amount.
